Oak Ridge Mail Procedures

There is an "Oak Ridge Pick-up Box" in the Oak Ridge Mailroom (A-110). This box is for RSCC employees who don't have a regular mailbox at Oak Ridge but wish to stop by and pick something up, by arrangement with the sender.

How do I find my mail?
Mailboxes are in room A-110 at the Oak Ridge campus. They are assigned based on the instructor name in the schedule of classes or by instructor/division request.  If your name on your class assignment was added late/not added, we may not know you need a mailbox, so please make sure you use the Mailbox section on the Oak Ridge Faculty Information Form to let us know whether or not you want a mailbox. If you DO NOT want an Oak Ridge mailbox, you may check that box on the form, and please specify the campus you want your mail routed to.

Mailboxes in the mailroom are divided into a section for staff/offices based in Oak Ridge (on the right as you enter the mailroom and a section for faculty members.  There is a cross-referenced directory posted on the back of the mailroom door, if you are having trouble finding your mailbox.

Can't find your mailbox?  If you've checked the directory and turned in the form mentioned above, contact Mariella Akers.  If there's been a delay in putting up the mailboxes or in getting your mailbox request, we will hold any mail for you in B-116 and treat it as a package.


How do I find my packages/I ordered something, where is it?
If a package arrives at the Oak Ridge Campus (by courier, US Mail, or other delivery), it will be logged in and locked up in B-116. You will be notified by RSCC email that you have a package.

  • The package(s) will be available for you to pick up in the Faculty Secretaries’ office, B-116 between the hours of 8 a.m. and 4:30 p.m. Monday through Friday. If you need to pick a package up after hours/if the office is locked, contact Security at extension 2020.  If you need special pick-up arrangements made, please contact Mariella Akers.
  • You must sign the log sheet indicating that you have received the package (especially if you are picking it up after hours).  You may find your name by looking through the log clipboard, which is hanging up on your right inside office B-116.  If you do not sign your package out, we may contact you to verify that you have received it.
  • If the package is too heavy for you to carry, you may borrow a cart (there are dollies and carts outside the Physical Plant).  You may also request that the package be delivered to your office/lab, and it will be delivered in the next few days.

After ten days, if the haven't picked up your package, you'll receive a second email reminding you to pick it up or to tell us what arrangements you'd like to make to handle your package.  If we haven't had any instructions about your package after two reminders, we may send it to your division, as we have limited storage space.  We receive several deliveries each day and handle about 20 packages a week.

How do students send me something/I need students' work to be initialed and dated by a staff member?
Students may turn papers in at the Faculty Mail Drop at the Oak Ridge Switchboard/Front Desk in the Visitor's Lobby of the campus.  Campus hours may be found here.  Any mail to instructors that is turned in while the switchboard is staffed will be date/time-stamped and initialed.  The Oak Ridge Switchboard is staffed Monday-Friday, 8-11 a.m. and 12 p.m.-4 p.m.  Mail may be turned in at other times, but it will not be initialed.

ALL MAIL to instructors should have the following information clearly marked on it:

  • Instructor’s Name
  • Course and Section Numbers/Course Title OR Instructor's Division
  • If mail is traveling to another campus via the courier, mail should have the Campus and Division (senders are advised to put mail in an envelope or otherwise seal it to prevent damage/loss)

If this information is missing, mail might be delayed or not arrive at all.  Student must provide their own envelopes.

How do I get something back to students to pick up (can I leave it in my mailbox)?
You CANNOT leave anything in your mailbox for students, as the Mail Room (A-110) is off-limits to anyone other than employees.

If you have something to return to a student or member of the public, you may place it in the Student Mailboxes, located next to the Switchboard/Front Desk in the Visitor's Lobby. The mailboxes are organized alphabetically, using the first letter of the recipient’s last name. Students may check the mailboxes in person whenever the campus is open (they cannot call in to check).

If you have an item of value, you may leave it with the Switchboard/Front Desk with your name and the name of the recipient.  The item will only be available for pickup when we have a receptionist on duty. There is a receptionist available Monday-Friday, 8-11 a.m. and 12 p.m.-4 p.m. 

I teach an IDEA class. How do I send mail to or receive mail from my IDEA Room students?
We strongly encourage all faculty to implement online resources, like Momentum, to handle as much student mail as possible. However, for cases when online resources are not feasible or available, here are some guidelines.

  • IDEA Student Mail TO Instructors
    • Students may use the lockbox in the IDEA classroom: there will be a supply of red envelopes and appropriate mailing labels to be filled out.  The lockbox is checked once each day, in the morning.  Mail put in the lockbox later that day may not be put into the courier until the following morning.
  • IDEA Student Mail FROM Instructors
    • To ensure promt delivery of mail, PLEASE remember to mark which IDEA classroom at the Oak Ridge campus your mail should be delivered to. 
    • Incoming exams should be marked and routed to the Testing Center. Any other mail to students (returned papers and the like) will be sorted and delivered to the specified room once each day, in the morning. Mail arriving later that day may not be put into the room until the following morning.

How do I send something through the courier to another site?
Allow at least two days for mail traveling by courier to arrive.

Place your mail in an envelope. There is a cabinet below the counter in A-110 marked “Courier Envelopes”.    There are a series of boxes to the right of the door in A-110, marked with campus names.  Make sure the envelope has all other names marked out, and write the recipient’s name, division/program, and campus on the envelope. Place the envelope in the appropriate outgoing box. The courier will go to several campuses after stopping at ours, so they have individual outgoing boxes. Mail to those campuses may reach them later that day. Mail to the main campus or campuses the courier has already stopped at before reaching us will return to Roane County to be sorted.

How do I send an official mailing through the USPS?
Write your program’s specific account number in the top left or right-hand corners of the envelope. If you have a large mailing, bundle it with rubber bands and write the account number on the topmost envelope. Put the envelope or bundle into the outgoing mailbox for the main campus (the largest one nearest the door) in A-110.

How do I send stamped mail through the USPS?
There is a drop-off at the Front Desk/Switchboard for regular stamped mail, which is usually picked up around 10:30 a.m.
