EMPLOYEE MAIL

Incoming Mail/Deliveries

Mail and deliveries come in at various times throughout the day. Deliveries may come from:

Packages are routed to Central Receiving (B-109). After being logged in, a notification email is sent to the recipient. Packages may be picked up at Central Receiving (B-109) between 8 a.m. and 4:30 p.m. Monday through Friday. If no-one is in B-109 or B-110 to help you get your package, Campus Police can unlock the door and retrieve your package. Carts may be borrowed from the Physical Plant, and large shipments can be delivered to yor office or classroom/lab by arrangement with Mariella Akers.

Contact Mariella Akers to send route your package to another recipient/campus, or make other special delivery arrangements. You'll receive a reminder if your package hasn't been picked up after about ten days. Unclaimed packages will eventually be sent to your Division/Department in Harriman.

Faculty Mailboxes

Mailboxes are in room A-110 at the Oak Ridge campus. If you don't have a mailbox and want one, please contact Mariella Akers. Visiting and adjunct instructors are given a mailbox for the semester unless their Division has indicated their mail is routed somewhere else. If you don't want an Oak Ridge mailbox, please contact Mariella Akers and let her know how you want your mail routed.

If you go by a nickname or middle name (Jane “Lucy” Doe or John “JJ” Smith), please let Mariella Akers know so all of your mail reaches you.

There is a cross-referenced Oak Ridge mailroom/routing directory posted on the back of the mailroom door.

Outgoing Courier Mail (to employees or students at other locations)

Allow at least 2 working days for mail traveling by Courier to arrive at the recipient's location. Envelopes are available in a cabinet below the counter in A-110 marked “Courier Envelopes”.

  1. Make sure the envelope has all other names marked out, and write the recipient’s name, division/department, and location on the envelope. Incompletely marked mail may not arrive in a timely manner.
  2. There are a series of boxes to the right of the door in A-110, marked with campus names. Place the envelope in the appropriate outgoing box.
  3. If you have boxes larger than the mail bin to go out, please note that these may take several days to make the transit, as the Courier's van space is limited.

Outgoing USPS Mail

For your convenience, there is a drop-off at the Oak Ridge Front Desk/Switchboard for regular stamped mail, which is usually picked up around 11 a.m.

Outgoing Official Mailing (Metered Mail)

Should you need to send an official mail-out, write your mailing code (obtained from your Division or Department) in the top left or right-hand corners of the envelope. If you have a large mailing, bundle it with rubber bands and write the mailing code on the topmost envelope. Put the envelope or bundle into the outgoing mailbox for the main campus (the largest one nearest the door) in A-110. Michele Oran in Purchasing (extension 4712) handles metered mail when it arrives in Harriman.


MAIL FROM STUDENTS

Students may turn papers in at the Faculty Mail Drop at the Oak Ridge Front Desk/Switchboard in the Visitor's Lobby of the campus. Students are not allowed in the Mailroom. Please do not tell students to check your mailbox.

We encourage all faculty to implement online resources, like Momentum, to handle as much student mail as possible. However, this is not possible in all cases. Exams going to students should be directed to the Testing Center. To ensure any other IDEA mail (syllabi, graded work) arrives promptly to students at Oak Ridge, please mark which Oak Ridge IDEA/Zoom /Interactive classroom (G-201 or Goff 225) the mail should be delivered to.

Students should not use our mailing address to receive personal mail or deliveries.

Classes in G-201 or Goff 225 IDEA/Zoom/Interactive classrooms may use the lockbox in the IDEA classroom to send papers to you. IDEA envelopes are available from your Division. Mail for these two classrooms is picked up or dropped of early each weekday morning. Mail that comes in during the day will not be delivered until the following morning.
